The Certificate of Analysis (COA) is the single most important document in B2B ingredient buying. It is the supplier’s written promise that the batch you are paying for meets the specification you agreed on. But not all COAs are equal – a one-page “conforms” sheet tells you almost nothing, while a full COA lets you compare batches, audit suppliers and catch problems before they reach your production line. Here is how to read one properly.
The Nine Fields Every COA Should Contain
- Product name and grade: exact identity plus CAS number, so the tested material matches the quoted item.
- Lot or batch number: the link between the document and the physical drum you will receive.
- Manufacture and expiry dates: confirm remaining shelf life against your usage plan.
- Specification vs result columns: the agreed limit next to the actual measured value.
- Test methods: HPLC, UV-Vis, USP or EP – the method must match the active being measured.
- Physical properties: appearance, odor, particle size or mesh, solubility where relevant.
- Active content: the key number for standardized extracts, amino acids and vitamins.
- Contaminants: heavy metals, microbiology and residual solvents with numeric results and limits.
- Manufacturer details and QC signature: who tested it and who stands behind it.
Spec vs Result: The Column That Matters
The most useful COAs print two columns: the specification (for example, “Silymarin NLT 80%”) and the actual result (“82.1%”). A document that only says “conforms” without numbers is weaker evidence – you cannot see how much margin the batch had, and you cannot trend quality across batches. Ask for numeric results wherever they exist.
Method Matching
The test method has to suit the active. UV works for total silymarin but HPLC is more specific; curcuminoids are typically quantified by HPLC; amino acids by titration or HPLC. If the method on the COA does not match the way the specification was defined, the two cannot be compared.
A professional COA always names the method beside each parameter. When methods differ between quotations, normalize them before comparing – an HPLC 80% silymarin and a UV 80% silymarin are not necessarily the same material quality.
Red Flags to Spot
- Missing lot number or dates – you cannot trace the document to a real batch.
- “Conforms” everywhere with no numeric results.
- A CAS or product name that does not match the quotation.
- No contaminant testing on a botanical extract – heavy metals and pesticides are non-negotiable.
- A supplier that will not provide the COA until after payment.
Trust is earned in the details: suppliers with strong quality systems are usually proud of their COAs and send them without being asked.
COA vs Specification Sheet vs MSDS
Buyers often confuse three documents that do different jobs. The specification sheet describes the standard the product should meet – appearance, assay, contaminants, packaging. The COA is the evidence for one specific batch against that standard. The MSDS (SDS) covers safety – hazards, handling, storage and emergency measures – and is required for shipping and warehouse compliance. You should hold all three on file for every ingredient you buy, and the COA lot number should match the lot printed on the drum.
Building a Supplier File That Survives an Audit
- Keep a folder per ingredient: spec sheet, latest COA, MSDS, and correspondence confirming methods.
- Record the lot number of every inbound delivery and link it to the matching COA.
- Re-request COAs with numeric results only – reject “conforms only” documents for actives.
- Re-test critical actives once or twice a year through an independent lab, and keep those reports in the same file.
- For botanicals, store the pesticide, heavy-metal and microbiology panels – auditors ask for them most often.
A Ten-Minute COA Audit Routine
When a new COA lands in your inbox, spend ten minutes checking five things: the product identity and CAS against your order; the lot number against the delivery documents; the spec-versus-result columns for the active assay; the methods beside each parameter; and the contaminant panel. If any of the five is missing or vague, ask before you accept the batch. Most sourcing problems in this industry are caught at this desk-check stage, not in the finished product.
Independent Verification
The COA is written by the seller, so serious buyers verify it independently. Send a sample to a third-party lab such as SGS or Eurofins, and ask the supplier for the raw laboratory report rather than a summary sheet. For repeat orders, request the COA for the specific lot being shipped and keep the documents on file – they form your traceability record.
